• New participants program discussion - Michelle Cotton slides

  • Review of where we are at, what we've done, what we hope to do.
  • (Recap of status/activities of the new participants née "newcomers" program @ IETF 114)
  • Many enhancements over the last 2 years to make the program more appealing to new-to-the-IETF but otherwise experienced participants, e.g. changing the name.
  • Various updates to specific components (see slides)
  • Some new components, e.g.
    • encouraging leadership to meeting opportunities for new participants
    • added link to guides in the meeting registration program
  • Changes/updates based on:
    • interviews with new participants
    • surveys of new participants
  • Futher enhancements anticipated to start with IETF 122 (also driven by feedback from new participants)
    • expansion to an onboarding experience for a whole day on Sunday that adds to the existing set of activities
    • possible Sunday schedule shared (see slides) but details are still TBD
    • IESG reviewed and approved concept, still need to work out details
  • Discussion
    • May not be an "all at once" experience; participants are considered "new" if they have fewer than 5 meetings.
    • Consider immediate past leadership members as candidates for presenting/supporting the program.
    • WG chairs are also candidates for presenters.
    • Consider the appeal to "non-new participants" of some of the components of the proposed expanded program (e.g. how to bring new work)
    • An idea for interactivity: consider requesting questions at the beginning of the session/program.
    • Question about non-returners: not good data after the first edition (post IETF 119), so refining the approach for a future edition to take into an annual look-back.

• Activity review, updates, IETF 121 prep

  • Outreach - Update from Dhruv

    • Presented at inSIG (India School on Internet Governance) about IETF and its role in the IG ecosystem. Dhruv was also on a panel with ISOC, ICANN and YouthIGF. Almost everyone knew about RFCs, many also new about IETF. Among sessions from ICANN, IGF, ISOC, IETF does stand out. It also had participation from the new incoming ICANN board member from india - Amitabh Singhal. It was good to meet various APAC IG related key participats. I am also involved with them in IIGF planning. Permission-less innovation! Room was too cold. Thats when you become an IETFer!

    • NEMOPS Workshop Outreach. Various PC members are involved. Qin/Kent/Warren - Nanog; Beniot - Lacnic and RIPE meeting. The key focus is on workshop, collecting requirements, surveys. Outreach to IETF is an happy by-product.

    • ITU-WTSA+GSS-24. Roman will be participating

    • Request to post short updates on the eodir mailing list to improve visibility and transparency.

  • WG Chairs Forum - Karen

    • Meeting as planned in Dublin. Possible topics include:
      • Surveying WGs - Jay
      • Working group workflow ideas - Tim W.
  • Systers
    • Update sent via mail by Carolina (also recapped by Karen O'Donoghue during the meeting)
    • Presentation to the NomCom. Systers was approached by the chair of the NomCom for a presentation from the group. We worked on compiling a slide deck which I presented to the NomCom last week, outlining our suggestions on how the NomCom can be supportive of the community that Systers represents: women and non-binary IETF-ers. The presentation was well received. As a concrete next step, we will invite some members of the NomCom to join us for the networking breakfast at IETF 121, and discuss other actions with the group in future meetings.
    • Tentative. Presentation from IESG as interim Systers meeting. We are looking to coordinate an interim Systers meeting for the IESG to present its action plan for addressing the recommendations in Merike's report before IETF 121. We are currently trying to find a time that works with the group to send Roman a list of options.
    • Open House for IETF 121. We are on track with the organisation of the Open House for IETF 121. I am currently running a poll with the group to see whether people think we should have the open house take place with the whole community or IETF leadership, as I felt this was not entirely settled in the last meeting. Folks have time until Sunday October 6 to provide their input. I will then get the ball rolling with Laura who is supporting us with this.
  • Tutorials - Karen
    • Requested time/space for a WIT Area overview by Mirja Kühlewind on Sunday, schedule details TBD
  • Guides
    • Update from Wes with recap by Paul Wouters
    • Gearing up for the upcoming IETF.
    • Michelle has already started sending out notes and we're seeing a few sign ins.
  • LLC/Comms update - Greg
    • Next meeting on 29 October (look for announcement by email)
